Administrative Assistant 3 (Two Positions)

Keeping Washington Clean and Evergreen


The Shorelands & Environmental Assistance (SEA) program within the Department of Ecology is looking to fill two Administrative Assistant 3 positions in our Headquarters Office in Lacey, WA. 

Position 1: Environmental Review and Transportation Section Assistant 
In this position, you will provide a high-level of administrative assistance and secretarial support to the Environmental Review and Transportation Section staff and Section Manager. You will play a key role in supporting our environmental review and permitting work by assisting professional staff and providing higher-level administrative review and processing of environmental documents. 

Position 2: Coastal/Shorelands Section Assistant
In this position, you will provide high-level administrative assistance and secretarial support to the Coastal/Shorelands Section, the Policy & Operations Section, and the Communications team. You will play a key role in supporting our work on shoreline, coastal, ocean, and floodplain management. You will have delegated authority to support the SEA Program Headquarters Office as the Purchasing Coordinator.

The mission of the Shorelands & Environmental Assistance (SEA) program is to support community conservation efforts for our shorelands, wetlands, and floodplains.

During Healthy Washington Roadmap to Recovery, employees are working a combination of in-office and/or telework based on position and business need. The positions are expected to work in the office 1 – 2 days per week. Ecology is following current state guidance regarding mask requirements, health screening questions before entry, and social distancing. Looking ahead, Ecology has recently updated the agency policies on telework and flexible and compressed work schedules. Duties

What makes these roles unique? 
The positions provide an opportunity for you to work with a team of professionals on a wide array of activities related to Washington’s wetlands, shorelines, marine waters, and more. You will perform a variety of duties that are core to the success of our program. In addition, you will have the added benefit of working with a team of people who are passionate about their work and are known for sharing their knowledge and mentoring colleagues new to our environmental work.
 
What you will do: 
  • Provide high level and confidential administrative support to Section and Unit Managers. 
  • Assist professional level employees by performing higher-level administrative review and processing of environmental documents. (Position 1 only)
  • Serve as the Purchasing Coordinator for ~ 60 staff in the Shorelands & Environmental Assistance (SEA) Program Headquarters Office. (Position 2 only)
  • Develop section trainings, visual aids, or other guidance materials for various administrative tasks.
  • Coordinate hiring and other personnel processes.
  • Develop, track, process, and/or administer receivable and payable contracts.
  • Create and maintain hard copy and digital files and filing systems for purchasing, correspondence, personnel, and other issues.  
  • Schedule and coordinate the logistics of various meetings and conference calls.
  • Provide back-up support to the Headquarters administrative team and providing other HQ administrative support to staff and managers.


Qualifications

Required Qualifications:
Experience for both required and desired qualifications can be gained through various combinations of formal professional employment, educational and volunteer experience. See below for how you may qualify.

Four (4) years of experience and/or education: 

Experience: in clerical, secretarial, bookkeeping, accounting, or general administrative office work. 

Education: High School Diploma or GED. OR college coursework involving a major study in business administration or closely allied field.
All experience and education combinations that meet the requirements for this position: 

 
OR
One year of experience as an Administrative Assistant 2, at the Department of Ecology.
 
Desired Qualifications:
We highly encourage you to apply even if you do not have some (or all) of the desired experience below. 
  • Experience working with administrative procedures within a state or other governmental agency. 
  • Experience working with technical staff and issues related to the environment, natural resources, science, law, or policy. 
  • Experience in using Microsoft Office software, including Word, Excel, Outlook, and PowerPoint. 
  • Experience with web-based on-line collaborative tools such as SharePoint, WebEx, Skype and Teams, and Zoom.
