Incentive Planning Intern

ABOUT SUMMIT PLANNERS:
Summit Planners was established in 2002 by two highly experienced women in the Meeting Planning industry who broke away from a traditional 3rd party planner. Since then, Summit’s team has developed a specialty in executing large international corporate incentives. Doing so requires ambitious hybrid representatives that blend the savvy of meeting planning with the resourcefulness of an international travel director. For instance, we enable our account managers to work with international hoteliers, lead event decisions with corporate executives and reroute Maui-bound attendees stranded in a Midwest blizzard. The corporations we work with are headquartered across the United States in a variety of industries and often hire us to assist existing planning departments with international incentives or large meetings. The majority of our work takes us to destinations in the Caribbean and Mexico.
POSITION DESCRIPTION:
We’re looking to hire a detail oriented, energetic, student with a passion for a career in meeting planning. To be a good cultural fit at Summit, they should have an interest in international travel, highly developed organizational skills and a good sense of humor. He or she should be excited to expand their knowledge and capabilities in all aspect of incentive planning and execution.
POSITION DETAILS/RESPONSIBILITIES:
If hired, you will work at the direction of Account Managers and Program Coordinators, to ensure the planning of events is flawless, all attendee questions and issues are resolved quickly and professionally, and the details of a program are recorded accurately. Daily responsibilities will include:
• Participating in Planning Meetings: Our team regularly meets to discuss issues with their events and strategize solutions. You would be included in these meetings as an opportunity to learn from them and contribute ides.
• Promotional and Mailing Preparation: We create and mail travel packets for our client’s attendees so they have travel and promotion details for the trip. You would help create, print, organize, update and mail these materials.
• Digital Communication Information: Summit creates event web pages, online registration pages, and travel information pages for its events. You would help create and maintain each of these areas. This does not require you to have webpage creation training or knowledge. We can
train you on how to create each of these as long as you are comfortable learning new skills on a
computer.
• Flight Research: Flights are a major logistical and financial part of international meeting
planning. Each person at Summit is able and expected to help our clients and their attendees
secure the best flights for their event. You would assist in researching flights in order to learn the
skills necessary to do so.
• Onsite Assistance: Our clients often hire us to assist them onsite to manage the hotel
accommodations, answer attendee questions, and deal with problems that may arise. We would
like you to be able to help with at least one trip. This would be in January or February of 2022.
REQUIREMENTS:
• Strong organizational skills
• Proficiency in Microsoft Office
• Ability to travel internationally. The months of January through March are particularly busy
travel times to the Caribbean and Mexico. We would like you to be able to be onsite helping for
at least 1 event. We are typically on site for events 6-7 days.
• Experience with GDS system (SABRE, Apollo, or Amadeus) would be a plus
