Bepko Learning Center- Operations Student Coordinator (Undergraduate Position)

The mission of the Bepko Learning Center is to enhance the opportunities for undergraduate students to achieve educational goals and to assist in their development of academic skills through the guidance of more experienced, highly successful student peers. In doing so, we value our Center’s community by embracing all aspects of diversity, equity, and inclusion in our goals of helping students succeed.

General Responsibilities
  • Maintain open communication with associate director concerning tutoring and BLC operations
  • Provide input of potential ideas for the development of operations, training, and recruitment
  • Communicate and provide updates on all progress of projects
  • Hold regular hours each week at the BLC Success Desk
  • Facilitate trainings over academic success strategies
  • Assist with other duties as assigned

Attend all trainings, events, and meetings throughout the semester:
  • Student Coordinator Training: Tuesday, August 17, 2021 8:00AM - 5:00PM         
  • New and Returner Coach, Mentor, and Tutor Training: Thursday, August 18 and Friday, August 19, 2021 8:00AM-5:00PM           
  • Weekly training meetings: Fridays 12:00PM – 1:30PM

Candidates must maintain at the most recent semester and cumulative grade point average of 3.0 or greater. 

Resource Coordination
  • Monitor the availability and inventory of resources using a web-based database
  • Contact individuals who have late resources to coordinate how items will be returned
  • Assist with granting access and training BLC student staff on how to use the database
  • Coordinate the check-in and check-out of course textbooks with UCOL mentoring course instructors
  • Help with determining new resources and supplies that are needed in the Bepko Learning Center

Bepko Learning Center Staff Scheduling
  • Work with professional staff to confirm all BLC student staff schedules are correct and free of conflict
  • Verify all schedules with BLC student staff during training prior to the beginning of the semester
  •   Collaborate with professional staff to see that information on the BLC website and any flyers match the master schedule
  • Work with the associate director to staff the BLC Success Desk with BLC student staff
  • Help verify all scheduling information is correct and there is sufficient coverage at the BLC Success Desk each week

Bepko Learning Center Training
  • Coordinate with professional staff to determine training needs and schedule coordination
  • Assist professional staff in developing the pre-training and compliance website
  • Follow-up with BLC student staff concerning compliance paperwork and training requirements
  • Assist with the coordination of BLC student staff check-in and check-out for each day of training
  • Carry out logistics during onsite training by assisting with workshops and providing support to professional staff and other duties as assigned
  • Support front desk staff with customer service training and front desk protocols

Bepko Learning Center Recruitment
  • Collaborate with professional staff on updating paperwork, interview procedures, intake forms, and other needs
  • Assist in setting up the recruitment database and paperwork collection
  • Coordinate interview scheduling with professional staff by confirming staff schedules and procuring rooms or setting up Zoom meetings for interviews
  • Help with training BLC student staff on recruitment processes and procedures and other duties as assigned
  • Prepare folders and organize interview paperwork and note any outstanding paperwork needed from applicants

Tutor Request Communication
  • Follow-up with new tutor requests
  • Provide follow-up emails and communication to ongoing tutoring requests
  • Close tutoring requests that are satisfied, no longer in need support, or unresponsive
  • Include and update notes of interactions on the Tutor Request project site

20 hours (during 2021-2021 academic year), summer 2021 (up to 20 hours per week)
