Job Purpose
The Events and Operations Coordinator in the Graduate and Executive Programs Department in the School of Business is pivotal in planning and executing a diverse range of events and operations for graduate programs and outward-facing events for public audiences. This individual will work in a dynamic environment, collaborating closely with various stakeholders, including faculty, staff, students, alumni, and external partners. The position requires a proactive and independent professional who can manage multiple responsibilities while ensuring the success of each event.
Minimum Requirements
A bachelor’s degree and administrative/professional work experience is required. Administrative experience in higher education and/or event management strongly preferred. Candidates with an equivalent combination of experience and/or education are encouraged to apply.
Required Knowledge, Skills and Abilities
Knowledge of basic accounting, marketing, and management practices. Demonstrated ability to establish and maintain effective working relationships with students. Proficient in use of Microsoft Office suite of application software, including Excel, Word, PowerPoint, and Outlook. Ability to demonstrate effective written and verbal communication skills.
Additional Comments Regarding Position
Requires some nights and weekends work.

Event Planning and Coordination:
• Collaborate and actively participate with stakeholders to identify event goals, themes, and objectives.
• Plan and coordinate logistics for all events, ensuring they align with the overall vision of the School of Business Graduate Programs
• Maintain timelines to ensure timely execution of all major events.
• Maintain a comprehensive database of event spaces both on and off-campus.
• Develop checklists and resources to enhance event planning capabilities.
• Track expenses and ensure events stay within budget.
• Assist with Visix screen content management and updates.
• Market events to appropriate stakeholders.

Administrative Duties:
• Maintains the supply inventory and orders supplies as needed. Implements and enforces inventory control procedures.
•Manages databases/spreadsheets and filing system for graduate programs.
• Oversees facilities and ensures that classroom technology is in working condition
• Develops, oversees and manages area budgets. Provides advice and approval to units within division regarding purchases.
• Coordinates student activities such as graduation and course registration
• Maintains purchasing processes through eProcure and is main contact for vendors

On-site Event Management:
• Coordinate larger events for graduate programs including EMBA residency weeks and weekends, pre-term activities, and executive volunteer appreciation events.
• Organize events such as Business Etc, Graduation Family Day, Celebration Cruise, others.
• Oversee event setup, execution, and teardown.
• Address any issues or concerns that arise during events.
